How to Reserve a Conference Room
This page shows availability for shared conference rooms in the Alliance Incubator. Reservations are reserved by sending a meeting invitation directly to the room’s calendar using your own email and calendaring system (Outlook, Google Calendar, etc.).
Step 1: Check Room Availability
Use the tabs on this page to view availability for each conference room.
- Each tab represents a specific room
- Availability is shown in a full calendar view
- If a time slot appears open, the room is available to request
Please review availability before sending a meeting request.
Step 2: Send a Meeting Request
To request a room, create an event in your own email calendar and invite the appropriate room calendar as a participant.
When sending the request:
- Include the meeting date, start time, and end time
- Add a brief meeting title
- Invite the correct room calendar:
- Board Room: aiboardroom@msufoundation.org
- Small Conference Room: aismallconf@msufoundation.org
If the room is available, the meeting will be accepted automatically and added to the calendar. If the room is unavailable, the request will be declined.
